The headquarters gathers approximately 1000 employees and is distinguished by its strong international culture (45 nationalities), which makes it a rich and stimulating place to work.Within the Group, you will join the Group HR Operations department, which is responsible for overseeing HRIS, data, and HR cross-functional areas.Within this Department, your will report to the Transversal Operations Lead, who oversees budget, compliance, and strategic initiatives and projects. Within your responsibilities, you will work closely with your manager and be accountable for various areas of focus.Your job and daily missions:We are looking for an experienced HR Transversal Operations & Project Specialist to join our Group HR Operations department. As part of this team, you will be responsible for managing the non-staff budget for the Group HR department, overseeing various strategic projects, and ensuring compliance processes are implemented throughout the HR function.BudgetThe HR Operations department manages the Group HR budget, providing regular reports to the Head of HR Operations and Group HR Director. You will be responsible for overseeing the non-staff budget for the Group HR department which mainly includes deployment of projects, consultancy services, tools implementation, and other annual expenses:

  • Respect calendar and milestones in coordination with Finance teams:
  • Budget definition: Collaborate with HR teams to define projects and cost estimations aligned with HR priorities and strategy. Support any decision on arbitrations or challenge when necessary.
  • Half-Year Review: Provide Group HR Leaders with an overview of spends and projection for the end of the year. Arbitrate if there is any change on priorities and collaborate with HR teams for projections.
  • Pre-Closing: Collaborate with Finance and HR teams to define the estimation of end of year landing. Serve as the primary point of contact for Finance to explain current state and alert any deviations.
  • Closing and accruals definition: Provide full year reporting to Group HR Leaders on projects and spends, share key insights and attention points. Collaborate closely with Finance to define accruals.
  • Deliver regular reports in collaboration with stakeholders (finance and HR teams)
  • Assist HR teams in reporting, ensuring relevant information are reported and described. You will be the main point of contact to share and explain the process and guidelines.
  • Understand and be capable of explaining spends and projects of each department and collaborate closely to understand team’s constraints and priorities.
  • Monthly follow up with finance to ensure alignment on figures.
  • Act as the primary point of contact for inquiries related to budget process and the invoicing tool (COUPA).

HR Operations budgetIn your role, you will specifically manage the budget for the HR Operations department (HRIS costs and strategic projects), conducting detailed analysis of the department’s projects and needs.

  • In coordination with the resource in India and Team Assistant, ensure a quarterly follow up on spends, invoices and projects.
  • Monitor accruals and pending invoices.
  • Gather needs from the HR Operations team to build and monitor budget and spends.
  • Deliver regular reporting to Head of HR Operations.

Strategic initiativesIn this role, you will provide support to HR initiatives and projects driven by HR priorities and strategy. These initiatives will center on innovation and organization such as Generative AI, Workforce, and HR transformation.

  • Collaborating closely with your manager, you will have a pivotal role in addressing these initiatives, involving tasks such as analyzing benchmarks and studies, establishing project plans, and coordinating with stakeholders.
  • These initiatives will be on going throughout the year, with some being 3-month projects and others requiring a more in-depth approach. Your flexibility will be essential in managing and overseeing multiple projects in parallel.
  • This role will require strong collaboration with entities ranging from HR Directors to operational teams in various HR domains. Your ability to build strong relationships with a diverse range of people will be highly valuable.
  • You will be engaged in the initial phases of deploying these initiatives, necessitating a high level of confidentiality and discretion.

ComplianceYour role will encompass dual responsibilities: you will serve as single point of contact representing the Group HR Department and representing the HR functions as well across all AXA entities to ensure alignment throughout the organization. Compliance processes encompass several areas such as Audit, Data Privacy, Internal control, Operational Risk and Business Continuity Plan. You will be responsible to ensure processes meet requirements and are effectively implemented by working closely with compliance partners:

  • Maintain close follow-up with each counterpart.
  • Have a regular follow up on current state, actions required and next steps.
  • Raise any compliance issues or concerns and provide a regular update.

QualificationsProfile:Minimum 5 years of experience in the HR function, mainly HRIS or HR project management. Interest in data, HRIS, and budget management topics is essential. Additionally, a strong interest in leading HR projects across diverse HR domains is crucial.Skills:

  • Strong verbal and written communication skills to effectively collaborate with various teams, stakeholders, and entities across the organization.
  • Ability to be flexible and adaptable in managing multiple projects with varying durations and priorities.
  • Ability to handle sensitive information with discretion and maintain a high level of confidentiality in compliance-related matters.
  • Proficiency in budget management and financial reporting.
  • Experience in managing HR strategic projects and coordinating with stakeholders.
