Duties of the Management Assistant include providing support to senior management, assisting in daily office needs and managing our company’s general administrative activities.Job descriptionWho are we looking for?We owe our success to people and processes. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.Administrative Assistant responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you also have previous experience as a or and familiarity within our industry, we’d like to meet you.Ultimately, a successful this person should ensure the efficient and smooth day-to-day operation of Katoen Natie.ResponsibilitiesA Successful management Assistant is an effective communicator, able to put people at ease when they’re speaking one-on-one with colleagues.

  • Plan, organize, and schedule company meetings/appointments in the office, off-site, and via videoconference
  • Prepare meeting agendas and take detailed meeting minutes.
  • Prepare the regularly scheduled reports
  • Draft and edit letters, reports, presentations and other documents.
  • Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, and office layout
  • Input and update information in databases and spreadsheets.
  • Follow-up and coordination of the time registration of international teams, based in Belgium, Moldova and Macedonia and taking remediation tasks together with the team leaders.
  • Explaining new employees the way of working related to time registration.

Requirements and skills

  • Bachelor Degree in Business Administration
  • Proven successful experience as an Administrative Executive
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment
  • Strong organizational skills with the ability to multi-task
  • Able to process and analyze data
  • Excellent skilled in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Excellent written and verbal communication skills
  • Aptitude for learning new software and systems
  • Comfortable handling confidential information
  • Additional qualification as an Administrative assistant or Secretary will be a plus
